CLIENT ASSOCIATION: Agricultural & Applied Economics Association (AAEA)
POSITION REPORTS TO: Consulting Partner (EDI)
POSITION(S) THAT REPORT TO YOU: Membership Manager, Senior Meetings Manager, Communications Manager, Digital Communications Manager, Administrative and Project Coordinator
EXEMPT/NON-EXEMPT EMPLOYEE STATUS: Exempt (minimum of 37.5 hours/week)

GENERAL SUMMARY: The Executive Director closely monitors all client activities providing all pertinent decision-making information to client and association leadership. Provide professional direction and support to all client activities, projects, meetings, and campaigns.

POSITION RESPONSIBILITIES:


  • AAEA Board:

  • Direct liaison with the President and Board of Directors of the Association.
  • Responsible for producing agenda materials and minutes of the meetings of the Board of Directors.
  • Manage logistics and arrangements for all Board meetings and conference calls.


  • Financials:

    • Fiscal responsibility for all client activities, budget preparation, explanation and development.
    • Review and sign checks for the organization.
    • Oversee legal responsibilities of the organization (taxes, bylaws, contracts, etc.).
    • Contract development and negotiation with service providers as necessary.


    • Development:

      • Supervision of conceptualization and preparation of marketing and public relations materials.
      • Facilitate the strategic planning processes of the association, overseeing environmental scanning, goal setting, and implementation.
      • Management of all projects to assure consistent, comprehensive understanding and identity of the association.


      • Publications & Communications:

        • Support of client publications and written resources.
        • Overall responsibility for member communications.


        • AAEA Trust:

          • Supervision of the fundraising arm of AAEA, the AAEA Trust, including but not limited to regular reporting of progress, development of communications plans, creation and distribution of a quarterly update, and creation and distribution of an Annual Report.
          • Manage relations between the AAEA Trust and donors.


          • AAEA Annual Meeting & Other Educational Events:

            • Overall responsibility for Annual Meetings and other educational events including, but not limited to, logistical coordination, abstract management, registration, speaker invitations, plenary session scheduling, programs, award management, special events, and on-site management.
            • Manage annual Fellows Selection Process.
            • Manage speakers before and during the Annual Meeting.
            • Manage relationship with allied associations.


            • Other:

              • Serve as staff liaison to various committees and task forces.
              • Staff management, development, and training.
              • Other duties as assigned.




                AMOUNT OF TRAVEL REQUIRED: Three to Four weeks per year; some weekend work required.

                EDUCATION REQUIRED: Bachelor's degree. Proficiency in MS Word and Excel as well as database experience.

                PROFESSIONAL EXPERIENCE AND SKILLS REQUIRED: Bachelor's degree required. Five years professional experience with at least three years in association management training and at least three years of experience in a supervisory role. Strong organizational, interpersonal, and business skills. Computer knowledge and typing skills required.

                INTERNAL/EXTERNAL RELATIONSHIPS:


                • Internal: EDI Consulting Partner, EDI support staff including Information and Technology Services, Creative Services, Mail Room, Reception staff.
                • External: AAEA Business Office, AAEA leadership, Allied Associations publishers, printers, Hotel personnel, exhibitors, destination management companies, exhibit decorators, facility exhibit and convention service managers, housing bureaus, audio-visual companies, freight forwarders.


                  PHYSICAL REQUIREMENTS: Some packaging and lifting up to 50 pounds. Ability to move quickly and frequently within the meeting facilities.
